JOB DESCRIPTION:

The position under direction of their supervisor performs complex office and administrative accounting support services work requiring a solid knowledge in applying bookkeeping principles to maintain routine, standardized accounting and financial records. Responsibilities require independent judgement in prioritizing assignments and selecting the most appropriate course of action within established operating procedures. The Accounting Associate is a vital part of the Service Center, as you are the primary point of contact for the payments. This position enters hundreds of documents each week into Advantage and Mainepays. This position also covers the front desk reception as needed. Other duties may be assigned as needed.

  • Prioritizing assignments and selecting the most appropriate course of action within established operating procedures.
  • Enter all payment documents.
  • Process all accounts receivable documents in AdvantageME.
  • Process cash receipts electronically through Singlepoint.  
  • To cover the 3rd floor reception desk as needed on a rotating basis.
  • To enter vendors and customers
  • To verify documents are in Fortis
  • Prepare OIT bills 
     

KNOWLEDGE, SKILLS & ABILITIES:

Entry Level:

  • Knowledge of query and research techniques.
  • Ability to establish computerized and/or manual filing systems.
  • Ability to create spreadsheets and perform data management.
  • Ability to make intermediate mathematical calculations.
  • Ability to communicate effectively.
  • Ability to write clearly and effectively.

 Full Performance:

  • Ability to effectively resolve problems.
  • Ability to determine facts, detect errors and irregularities, and take appropriate action in accordance with established procedures.
  • Ability to exercise good judgment in appraising situations and making decisions/recommendations. 

MINIMUM QUALIFICATIONS: 

Training, education, or experience in office and administrative support work that demonstrates:

1) Competency in applying a solid knowledge of bookkeeping principles and practices necessary to perform complex work in maintaining specialized accounting and financial records, and
2) The ability to use independent judgment in handling exceptions to established work assignments, priorities, and schedules. All positions in this classification assume the qualifications of the Accounting Assistant.
Preference will be given to those applicants with experience using excel formulas, cubes, and MainePays processing as these are critical to the job position.
