The Maine Department of Professional and Financial Regulation, Bureau of Insurance, seeks an Office Specialist I, Manager Supervisor.

This is a professional services position overseeing the Bureau’s Support Unit, including purchases, billing, records management, deposits, travel planning, equipment maintenance, legislative support and library maintenance.  The position also provides administrative support to senior staff.  

This position is responsible for maintaining a functioning office, including overseeing the day-to-day bill paying and receipt tracking of the Bureau’s financial transactions.  The position coordinates the set-up of work spaces for new and moving employees, and coordinates paperwork for new employees.  The position also serves as the Bureau point person for resolution of building issues, including HVAC and other issues as they arise.  This position tracks legislation, and is responsible for distribution of legislative analysis and reports.  The position supervises the work functions of other clerical staff. 

Primary responsibilities include:  

  • Overseeing the bill paying/tracking of the Bureau’s financial transactions
  • Overseeing office management functions, including records management, equipment maintenance, facilitation of work spaces
  • Overseeing distribution of legislative analysis and reports
  • Providing administrative support to senior staff
  • Supervising clerical staff in support of administrative functions 

To be successful in the position, you must have knowledge of and experience in:

  • Office administrative and clerical work
  • Working both independently and in a team environment
  • Overseeing equipment and facility maintenance needs
  • Assessing office needs and recommending/implementing needed improvements
  • Coordinating work activities of several projects and operational units
  • Advising supervisor on fiscal and budget matters as needed
  • Advising supervisor regarding work/operations needs
  • Overseeing clerical staff in a busy work environment
  • Office software, including Excel and Word

Qualifications: 

Competency in applying a proficient knowledge of office operational processes to perform advanced work in coordinating and performing multiple distinct office support functions for a large satellite office or operational unit, or multiple small units.  All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, Office Associate I, Office Associate II and Office Specialist I.
