The Division of District Operations is a statewide unit within DHHS that coordinates facilities operations, performs diverse administrative functions and provides clerical support services to the Department. This recruitment is being conducted for a current vacancy located in Lewiston; however, this position will require regular travel to the DHHS District Offices in South Paris and Farmington in order to provide reception and general office coverage.


Job duties:

This position will provide administrative support by performing complex, varied tasks requiring established skill sets which include a solid knowledge of modern office practices and office equipment. Responsibilities include, but are not limited to:

• Receiving and greeting visitors, determining needs, and routing to the appropriate divisional office/resource;
• Troubleshooting equipment and advising others requesting technical assistance;
• Assessing the facility, determining conditions, detecting problems, and correcting or contacting the appropriate entity to take action, as authorized;
• Explaining and interpreting applicable rules, regulations, policies, procedures, codes, and/or documentation requirements;
• Developing standard work procedures within established guidelines;
• Creating and using varied correspondence formats and composing standard business correspondence;
• Examining documents/information, determining facts, detecting errors and irregularities, and taking action, as authorized;
• Performing routine, occasional secretarial duties such as completing work schedules, arranging appointments, arranging travel/lodging, and reviewing documents in order to respond to requests;
• Coordinating and presenting training and orientation sessions.


To qualify for this position, you must have training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks; and 2) the ability to use independent decision making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures.

Because this is a floater position, possession of a valid Maine Driver’s License is needed.

Value of State’s share of Employee’s Retirement: 15.37% of pay   
Value of State-paid Dental Insurance:  $13.13 biweekly

Value of State-paid Health Insurance*:

Level 1:  100% State Contribution = $444.68 biweekly (employee pays nothing)
Level 2:  95% State Contribution = $422.45 biweekly (Employee pays: 5%)
Level 3:  90% State Contribution = $400.211 biweekly (Employee pays: 10%)
Level 4:  85% State Contribution = $377.98 biweekly (Employee pays: 15%)
*The level of actual value of state paid Health Insurance will be based on employee’s wage rate and status with regard to the health credit premium program as of July 1, 2018.
