The Department of the Secretary of State, Bureau of Corporations, Elections & Commissions is seeking candidates for a Customer Rep Specialist - Corp position located in Augusta, ME. This position is responsible for reviewing and filing corporate documents and determining name availability, processing Uniform Commercial Code (UCC) liens, and processing Notary Public Commissions and Board and Commission filings. This position works Monday - Friday, 8:00 am - 5:00 p.m.


  • Comply with State policies, including those concerning protocols for agency information security and confidentiality policies for state business purposes.
  • Process Uniform Commercial Code financing statements by determining compliance for filing.
  • Process all new and renewing applications for Notaries Public.
  • Process requests for Apostilles and Authentications.
  • Access and provide information on web based services and functions and assist public with the location of forms etc.
  •  Determine initial and continuing eligibility for program benefits and/or services.

  • Access information from the internet.

  • Research, compile, and analyze complex information to reach a conclusion and/or make recommendations.
  • Advise others requesting technical assistance.
  • Examine business entities, nonprofit corporations and trademarks to determine name and logo availability.

KNOWLEDGES, SKILLS, AND ABILITIES REQUIRED: (These are required to successfully perform the work assigned.)

  • Ability to assist customers with eligibility determination procedures.
  • Knowledge of documentation practices.
  • Ability to access information from the internet.
  • Ability to make eligibility determinations using established criteria or regulations.
  • Ability to conduct research, gather information, and analyze results to reach a conclusion and/or make recommendations.
  • Ability to exercise good judgment in appraising situations and making decisions/recommendations.
  • Ability to understand and review proposed/enacted laws


MINIMUM QUALIFICATIONS: (Entry level knowledges, skills, and/or abilities may be acquired through, BUT ARE NOT LIMITED TO the following coursework/training and/or experience.)

Training, education, or experience in administrative support work that demonstrates 1) competency in applying a proficient knowledge of the principles and practices of quality customer service to perform advanced work in determining eligibility for public benefits or services, and 2) the ability to use independent judgment, initiative, and discretion to make determinations on varied matters.

All positions in this classification assume the qualifications of: Customer Representative Assistant I, Customer Representative Assistant II, Customer Representative Associate I and Customer Representative Associate II.


Value of State-paid Dental Insurance:  $14.31 biweekly

Value* of State-paid Health Insurance:

  • Level 1:  100% State Contribution (employee pays nothing):  $461.75 biweekly
  • Level 2:  95% State Contribution (employee pays 5%):  $438.66 biweekly
  • Level 3:  90% State Contribution (employee pays 10%):  $415.58 biweekly
  • Level 4:  85% State Contribution (employee pays 15%):  $392.49 biweekly 
  • Health and Dental Insurance rates for part-time positions must be prorated.

Value of State’s share of Employee’s Retirement:  14.47 % of pay.

*The level of the actual value of state paid Health Insurance will be based on the employee’s wage rate and status with regard to the health credit premium program as of July 1, 2019.
